Issue/Rationale
Issue Rationale for renewals as required per FS 287, DOE 6A-1.01 and School Board Policy
a. Covered Walkways County-Wide Bid #05-F-189. Contract Period is
b. Agreement for Geotechnical Engineering and Inspection Services. Contract Period is
c. Re-Roofing of Shingled Roofs Bid #08-MA-286. Relinquish Contract from renewal. The continued escalating cost of roofing materials and delivery fuel charges has forced vendor to request to be released from existing contract. Letters are attached supporting contractors request and verifying the cost increases from the manufacturer. This is a reasonable request due to the continuing rise in petroleum prices that could not have been anticipated by industry or vendor when renewing their bid in June, 2008. Two separate bids shall be created in the future – one for labor and one for materials. The materials bid shall have a price index to allow for increase and decrease in the market.
d. Telecommunication Infrastructure Installations County-Wide Bid #08-MI-78. Addendum to change the way quotes are requested. This change is due to the time and cost involved in receiving quotes for projects the School Board anticipates would cost less than $8000.00. Three (3) vendors were awarded the multi year contract in November, 2007 and each vendor has submitted a signed addendum agreeing to this change.

Extend renewals as follows:

b. Agreement for Geotechnical Engineering and Inspection Services - To:
· Ellis & Associates, Inc.
c. Re-Roofing of Shingled Roofs Bid #08-MA-286 – To Release:
· Quality Construction of N.E. Florida, Inc.
d. Telecommunication Infrastructure Installations County-Wide Bid #08-MI-78 – To:
· First low bidder: Professional Telephone Services, Inc. d/b/a Converged Communications, Inc.
· Second low bidder: Network Cabling Services, Inc.
· Third low Bidder: Miller Electric
Project’s that do not exceed $7999.99: Lowest bidder shall always be giving first consideration during contract period. When the lowest bidder is unable to perform services and indicates so in writing then the next low bidders, based on the order of award, shall be contacted.
Project’s that exceed $7999.99: All bidders shall be given the opportunity to submit a sealed quote. The lowest quote meeting specification shall be awarded.
Financial Impact
a. Covered Walkways County-Wide Bid #05-F-189: Estimated $300,000.00
b. Agreement for Geotechnical Engineering and Inspection Services: Estimated $40,000.00
