C4 - Volume License Agreement Microsoft
Description

This contract covers all required licenses for servers operating systems, Microsoft office (Word, Excel, etc), Desktop operating systems (Windows 7, 10), and other Microsoft products for all district devices.

Gap Analysis:
Microsoft Windows OS is currently used on thousands of district devices such as desktops, laptops, and servers. This Enterprise Agreement allows the installation and use of these Microsoft products for the next calendar year. Without these software subscriptions district devices would cease to function and would be out of compliance with copyright laws. To replace these devices or to switch operation systems would be in the millions of dollars. In addition educational institutions such as the Clay County School Board receive tremendous discounts for these products over the private sector cost. This three-year agreement is purchased as part of the State of Florida Contract 252-001-09-1

Previous Outcomes:
The District and Microsoft have had an Enterprise Agreement since 2011. To receive volume discounts pricing, this agreement covers three years with a yearly renewal option.  

Expected Outcomes:
Approval of this agenda item will allow district resources to continue to operate.

Strategic Plan Goal:
A district network that provides students and teachers access to modern technology is established and maintained.

Recommendation

That the Clay County School Board approve the purchase of a volume license agreement to cover school district use of Microsoft Software in the amount of $297,538.46.

Financial Impact
For this 2016-2017 fiscal year, the estimated amount for the entire year's expenditures is 297,538.46. The funding source will be a combination of General Funds and BCC Sales SurTax.
