| Title C2 - Synergy Transition / Specialized Data Retrieval License | ||
| Description For the past seven years, Clay County District Schools has utilized the Synergy Student Information System. For the upcoming 2026-2027 school year, the Focus Student Information System will be implemented to replace Synergy. Due to auditing requirements for FTE audits and finalizing document offboarding, the Synergy Student Information System will need to be made available to the district in order to ensure compliance. Additionally, as Clay County District Schools moves to the Statewide IEP/504 system provided by the Florida Department of Education (PEER), continued access to the Synergy Student Information System will provide critical access to historical data that will be utilized throughout that transition. | ||
| Gap Analysis As the Focus Student Information System launches for the 2026-2027 School Year, the Synergy Student Information System will no longer be the primary production database. However, historical records must remain accessible. Purchasing a specialized transition license will bridge this gap, ensuring seamless data retrieval necessary for IEPs, 504 Plans, state reporting compliance, and other student-specific historical data records. | ||
| Previous Outcomes The Synergy Student Information System has successfully served Clay County District Schools for seven years as the core application covering major student-related operations and state reporting functions. | ||
| Expected Outcomes The purchase of this specialized license will provide the district with a critical overlap of access to historical student records. It guarantees full compliance and operational coverage in the event of a scheduled FTE audit for the 2025-2026 school year and supports the data migration needs of the exceptional student education (ESE) teams. | ||
| Strategic Plan Goal Goal 5: Fiscal and Operational Efficiency Strategy 5.4: Continue to provide all students and staff ubiquitous access to approved online applications, resources, and tools necessary for teaching, learning, communications, and operations. | ||
| Recommendation To approve the attached amendment to the Edupoint Synergy Contract to secure the transitional license. | ||
